Separate a plan from a learned recipe
A member intending to level Alchemy is different from a member who can craft the item you need. Record intentions early, then confirm capability when you have current evidence.
Give each order a clear owner
Agree the item, quantity, materials, contributor and due date. Keep those details with the person coordinating the order so a vague request for consumables becomes a manageable job.
